Information Services – Collections and Training Assistant

Position Profile

Key Objective

To provide professional support to our clients ensuring that they receive consistently excellent services.To support the Collections Management and Training Team in:

  • All aspects of hard copy acquisition and management and
  • The provision of a comprehensive programme of training on library resources and processes.

Understand and adopt the principles of acting as a professional service provider.

Contribute to the continuous review and improvement of processes

Promote a culture of mutual understanding through effective communication both within Integreon and with our clients.

Minimum of 4 days per week (with flexibility as required to meet deadlines)

Position Objectives

Support the Collections and Training team including:

  • Ensure leavers and joiners information is incorporated into IS records and adding new joiners to relevant databases (e.g. Lawtel & PLC)
  • Maintain records of passwords and requests details for new joiners, including informing new joiners of the relevant information
  • Manage administrative aspects of training (scheduling, bookings, course materials, etc.)
  • Ensure new books and supplements are processed and delivered to the client
    Assist Information officers with the maintenance and upkeep of the Bristol based satellite collections and the main collection
    Assist members of the Information Services team with administrative tasks as required, including article requests, issuing and returning books, post and copying
  • Monitor loose-leaf titles in order to keep our copies updated
  • Assist with checking in of journals/loose-leaf parts twice a week.
  • Assist with acquisitions entering book orders on to Olib and cataloguing certain book titles.
  • Identify CDs requiring networking and send to IT

Previous Experience Requirements

  • PA / administrative experience.
  • Previous library experience in a business or legal library environment is preferred.
  • Experience of data entry and managing electronic records.

Educational Requirements

  • Excellent IT skills with the ability to fully exploit existing resources.
