Key Objective :-

Hands-on and tenured Design experience with a high level of production activity, responsible for team management of both Design and Document Centre staff, client escalations, interaction and service, process enhancement and continued delivery improvements. You will be working with workflow and management for both service lines to ensure the smooth running of the Scotland service.

You will provide a professional and informed focal point for the London Design team, ensuring that departmental customer service meets client needs and expectations, for ensuring the department adheres to established templates, brand guidelines and production best practices and ensuring service level agreements are consistently met while aiming to enhance the client’s overall service experience.

Position Objectives Expectations :-
  • To take the lead on arranging/taking briefs for, and project management of high profile and/or complex work delivered to the department, including:
    • responsibility for the full design lifecycle from concept to execution, generating creative and appropriate concepts for presentation to client;
    • working closely with the writers, proofreaders and editors to generate creative ideas and concepts to fulfil the client's brief;
    • producing sketches or 'roughs' or 'scamps' to communicate ideas to the client;
    • gaining an understanding of the target audience and business that the project is aimed at;
    • meeting with any creative director and account manager before presenting ideas to clients;
    • pitching ideas to clients;
  • To effectively brief colleagues on creative solutions and direction as well as branding and take ownership of these projects as required.
  • Working closely with clients and team members during kick-off to create strong concepts from the initial briefing;
  • Monitor and take responsibility for the quality of Designers’ output and working to create a culture of creativity and personal development.
  • Responsible for providing leadership and direction to the Edinburgh team as well as all administrative team matters, including:
    • On-ground coordination of staff of all service lines ensuring the department is correctly staffed at all times making sure to follow all departmental processes with regard to planned and unplanned absences;
    • Ensure motivation and compliance is maintained across a diverse team of varying disciplines;
    • Advising and assisting the team on ad hoc issues, questions etc;
    • Reporting and Annual Appraisal for staff in Edinburgh;
    • Regular 1-1 meetings with all reportees;
    • Primary in-person client liaison in Edinburgh, taking briefings and providing advice;
    • Supporting the team in dealing with clients and troubleshooting;
    • Ensure workflow is informed of any absences/issues with Transcriptionists and adequate cover is provided;
    • Liaison with IT/Facilities/Printroom etc as required;
    • Primary HR liaison for staff in Edinburgh;
    • Investigate and (if necessary) generate reports on any negative client feedback;
    • Carry out/organise QC audit as per agreed departmental requirements.
  • Ensuring departmental workflow/scheduling is carried out in accordance with agreed procedures and to enforce said procedures including ensuring effective project communication and handover between shifts.
  • Maintain effective relationships with key client contacts.
  • Evaluate processes and procedures on an ongoing basis to identify improvements.
  • Acquire and maintain an in-depth working knowledge of the client's working environment and business needs.
  • Actively encourage collaborative working within and across the Document & DS teams, regardless of geographic location, taking collective responsibility and accountability for service performance.
  • To work with Global Manager on any ad hoc requests such as material for SLA reporting, meeting preparation etc
Personal Success Characteristics :-
  • Previous experience in managing the life cycle of the Design process from briefing to client deliverable.
  • Previous experience of management in a Design department with extensive knowledge of Design processes and technology.
  • Previous experience managing diverse teams in a professional services environment.
  • Confident in bringing your own ideas and creativity to projects whilst working within a broad range of design guidelines across a variety of artwork collateral.
  • Excellent working knowledge of design and document production practices and technologies including Adobe CS.
  •  Excellent communication skills and experience delivering internal and client briefings.
  • Strong client liaison, with a proven track record of developing strong client relationships and a consistent record of taking, interpreting and delivering projects within agreed timeframes.
  • Effectively organising and prioritising workloads to manage client delivery whilst simultaneously influencing clients with their own ideas and conceptual creativity.
  • Ability to take ownership of projects from concept through to completion.
  • Attention to detail with the ability to work under own initiative.
  • Excellent project management skills.
  • Experience of devising and implementing departmental processes.
  • Experience of administering effective workflow management systems in a legal or other professional services environment.

Educational Requirements :- Degree level education
Previous Experience Requirements :- At least 1 year's equivalent industry experience of leading a design and document services team
