Position Title :- Graduate Talent Administration Team Leader

Key Objective :- To manage the flow of Graduate Recruitment and Graduate Development Administration across Bristol, London and Glasgow, providing effective administrative support.
Position Objectives Expectations :-

Team Leader Specific

  • Implement a new efficient and effective model of working. All administration to be managed and owned from Bristol with the support of the Graduate Recruitment and Development Administrators in London and Glasgow.
  • Building strong relationships with the Graduate Recruitment Team and Graduate Development Team based in London and Glasgow. Regular travel to the London and Glasgow offices and participation in team meetings will be expected with overnight stays.

Administration Team Management

  • Daily management of the Administration Teams based across Bristol, London and Glasgow including but not limited to; performance management, administration management, project management and sickness/holiday management in liaison with the Graduate Development Manager and Talent Manager.
  • Holding weekly Administration Team meetings and providing updates to the managers of the Graduate Recruitment and Development team in London and Glasgow.
  • Prepare for and complete annual performance reviews for the Administration Team and setting of objectives in liaison with the Graduate Development Manager and Talent Manager.
  • Determine and deliver appropriate development opportunities and training to the Administration Team.
  • Manage team workloads and the distribution of project work and daily tasks to the Administration team to strict deadlines.

Graduate Recruitment and Graduate Development Team Support

  • Review and implementation processes for the graduate recruitment and graduate development administration processes to ensure the smooth running of the graduate recruitment and development processes.
  • Working to agreed deadlines to ensure good progress is made within the graduate recruitment and graduate development cycles.
  • To work with the Graduate Recruitment and Graduate Development teams to attract and retain high quality graduates for the firm.

Manage and oversee the following key administration projects and processes within the Graduate Recruitment and Graduate Development Administration Teams:

  • Administration process review – this includes but is not limited to process document review, mapping and implementation.
  • Budget management - processing team invoices and expenses in a timely manner/weekly basis.
  • Maintain accurate information/records within all team master trackers and the online Graduate Application Tracking system (currently Apply4Law).
  • Review and update all our offer letters (e.g. all programmes, new joiners, financial assistance, newly qualified positions and secondments) as well as e-mail templates to communicate with candidates.
  • Responsible for issuing new starter joiner packs and ensuring that all pre-employment checks are completed and IT set-up and security access to relevant offices is arranged.
  • Managing the online booking process for law fairs and bespoke workshops and presentations on campus.
  • Organisation and co-ordination of interview days and assessment centres.
  • Assisting with the newly qualified solicitor process and admission processes in Scotland and England.
  • Overseeing the administration process relating to trainee secondments (secondment letters and agreements).
  • Ensure that Administration Team inbox activities and queries are dealt with in a timely manner.
  • Mistake free logging of appraisal and holiday forms on PeopleSoft.
  • Management of financial assistance programme.
  • Ensure that the cyclical processes and procedures are in place to meet the statutory requirements of our trainee contracts.
  • Visa assistance across all programmes.
  • Milkround administration support.
Personal Success Characteristics :- Ability to effectively manage workloads and team performance, carrying out more difficult conversations when necessary. Strong IT skills across Microsoft Office applications and experience of using databases or case management software. Strong organisational skills and the ability to juggle competing priorities in a pressured environment. Ability to think ahead, plan appropriately and resource. Excellent attention to detail. Driven and enthusiastic to deliver an exceptional service.

Educational Requirements :- Should be educated to at least A level standard and, ideally, of graduate calibre
Previous Experience Requirements :- Some experience in team management and administrative related role, ideally within the professional services sector and ideally within an HR or recruitment environment. Excellent knowledge of the graduate recruitment and graduate development landscape and associated administration processes.
